What is a Recurring Invoice?

A recurring invoice is an automated billing setup that sends the same invoice to a customer at regular intervals like weekly, monthly, or yearly. Once you set it up, BrandDrive handles the sending for you, so you don’t have to remember to do it manually every time.
It is very useful because it helps:
Save Time: You only create the invoice once, and the system does the rest.
Steady Cash Flow: It ensures your bills go out exactly when they are due, helping you get paid faster.
Professionalism: Your customers receive consistent, timely billing, which builds trust and makes your business look established.
 
Recurring invoices are perfect for any business with repeat billing, such as:
Service Subscriptions: Monthly retainers for consulting or cleaning services.
Rent or Leases: Charging for office space or equipment.
Fixed Contracts: Ongoing projects where the price stays the same each month.

When to Use Recurring Invoices

– Monthly subscriptions – SaaS, memberships, ongoing services
– Retainer clients – Marketing agencies, consultants, accountants
– Rent/lease payments – If you lease equipment or property
– Regular maintenance contracts – Monthly cleaning, security, IT support
Basically, if you send the same invoice to the same customer on a regular schedule, automate it!
 
Creating a Recurring Invoice

Step 1: From the Invoices & Quotations page, click the blue “Create new +” button in the top right corner.
A dropdown appears with three options:

– Create new invoice

– Create new quotation

– Create recurring invoice ← Select this

Step 2: You’ll land on the “Create Recurring Invoice” page

The page looks similar to creating a regular invoice, but with an important addition at the bottom: the “Set Recurring Schedule” section.
Fill in Basic Invoice Details
Just like a regular invoice, start by filling in:
– Invoice name or title
Example: “Catering service” or “Monthly Retainer – March 2026”
– Select customer
Choose the customer who will receive this recurring invoice
– Select business branch/outlet
If you have multiple locations, select which one
– Currency
NGN or your default currency
– Exchange rate
Usually leave at 1 unless invoicing in foreign currency
– Set Recurring Schedule

Scroll down to the “Set Recurring Schedule” section.
You’ll see four fields:
– Interval
Click the dropdown to choose how often the invoice should be sent:

– Monthly (most common – every month on the same day)

– Quarterly (every 3 months)

– Annually (once per year)

Most common choice: Monthly
